The Project/Proposal Coordinator (Desktop Publisher-DTP) supports the JBS Business Development and Proposal Center. The ideal candidate will possess the ability to analyze complex government solicitation documents to ensure compliance with proposal instructions related to production and submission. This position requires a blended knowledge and skill in both document layout and graphics design and is proficient in Microsoft Office products, Adobe, and other graphics software. This role requires someone who has the ability to work both autonomously and collaboratively as well as manage multiple deadlines and fast past every changing environment.
ESSENTIAL JOB FUNCTIONS:
â€¢ Handles company-wide requests for desktop publishing, as well as document layout and formatting for proposals and other deliverables, including staff resumes for new hires, letters, and other project deliverables.
â€¢ Works closely with the accounting and IT departments to set up the proposal charge numbers and is responsible for setting up and managing proposal archive folders on the shared network drive.
â€¢ Submits request for new proposal folder, job code, SharePoint Worksite, VPATs, cover designs, and proposal delivery of hard copy submission.
â€¢ Participate in team planning for upcoming proposal bids.
â€¢ Works closely with the proposal/project teams to ensure that all final proposals are formatted in accordance with RFP instructions and JBS corporate guidelines.
â€¢ Creates custom cover designs upon request and works closely with the JBS Design Center as needed for other design requests. Ensures covers are reviewed and approved by the Technical Proposal Manager and other assigned personnel.
â€¢ Prepares/edits/formats the proposal table of contents, cover letter, Letters of Intent, labels, delivery receipt forms, tabs, and slip sheets as required. Performing all final formatting and layout of the final proposal draft and reviews the final product for quality and compliance with solicitation criteria. If print copies are required, the DTP coordinates with the document processing center for final proposal printing, assembling, quality assurance, and smooth handoff in final proposal delivery to the customer.
â€¢ Coordinates all aspects of proposal production (formatting; page layout; resume layout; importing graphics; creating charts, tables, and matrices; front- and backend material creation; and data entry), and final print production (if necessary) with Production Center and delivery teams.
â€¢ Oversees the direct production, reproduction, and binding/packaging of final proposal documents.
â€¢ Identify and alert proposal management and BDPC Director to any problems, issues or delays, or issues around quality of content
â€¢ Propose new ideas and options for improving processes.
MINIMUM JOB QUALIFICATIONS:
Education: Associates degree required/Bachelorâ€™s degree preferred
Language: English fluency (oral and written)
Experience: At least 2 yearsâ€™ experience working in the proposal development field on Federal and/or state bids as a document layout specialist or desktop publisher. Understands how to identify and interpret Section L requirements in Federal Government RFPs
Software Proficiency: Microsoft Office Suite, Adobe (knowledge of MS Visio and Sharepoint preferred, but not required). Graphic design experience and/or knowledge in MS Visio, MS Powerpoint, or other graphics software is a plus
Location: This position is located onsite in North Bethesda, MD
Skills: Is able to organize, track, and complete tasks in a timely manner. Must be a self-starter able to research questions online to understand how to use and apply new MS Office product tools and features and brings a high level of attention to detail and quality.
